This notice explains what personal information CourseSide Ltd collects, why, how long we keep it and what your rights are. It is written to be read, not filed.
Who we are
CourseSide Ltd is a company based in Stockport, England. We run live tracking for golf days and this website. We are the controller of the personal information described here. You can reach us at [email protected].
What this notice covers
Two things. The website you are reading now, including the Talk To Us form. And a CourseSide day itself: the information the product holds when an organiser runs their golf day with us. The day section describes the product as designed; the first days run in 2027, and we will update this notice before they do if anything changes.
This website
What we collect
- The Talk To Us form. Your name, email address and message, and your organisation and phone number if you give them.
- Technical logs. Our hosting keeps standard server logs: the address your request came from, the pages you asked for, your browser, and the time. They are used to keep the site running and secure and are not used to identify you.
The site sets one essential cookie and no analytics or advertising cookies. The cookie notice has the detail.
Why, and on what basis
We use what you send through the form to reply to you, to hold a date if you ask for one, to send the day pack if you ask for it, and to keep a record of the enquiry. Where you are asking about running a day with us, that is taking steps at your request before a contract. Otherwise it is our legitimate interest in answering the people who write to us, which we think you would expect.
Who sees it
The three founders, and the providers who host the site and deliver our email, acting on our instructions. We do not sell personal information and we do not share it for advertising.
How long
Enquiries are kept while there is a reasonable chance we will work together. We review them every twelve months and delete the ones that went nowhere. Server logs are kept for a short period by our hosting provider and then discarded.
A CourseSide day
When an organiser runs their golf day with us, the organiser decides who plays and gives us the field. We process the day's information on their behalf and our own, to run the day and to send every player their report.
What the day holds
- The field. Player names and handicaps, teams, groups and tee times, supplied by the organiser or completed by players and captains from a link.
- Contact details. An email address and a mobile number per player, captured when they join the day in the app or supplied beforehand, used to send the report and the day's own emails.
- Scores. Every card entered on the day, with who entered it and when, so a card can be corrected and audited.
- Positions. The position of each player's tracker during the round, which is what puts them on the course map and draws their walk in the report.
- Claims. Longest drive and nearest the pin claims, with their positions and times.
Where it appears
While a day is being played, the names, positions, scores and claims of everyone on it appear on the screen in the clubhouse and on the day's follow link, which the organiser and the players share. The ticker's pre-round personality lines come from a reviewed pool and any player can opt out by telling their organiser. After the day, each player's report is a private link that cannot be guessed and is never exposed by the follow link; it goes further only if the player shares it.
Partners
The day's partners appear on the screens and in the reports. They do not receive players' personal information from us. Where a partner offers something through a code or link, following it takes you to the partner's own site under their own notice.
How long
Reports stay available so the links keep working, and the day's results stay with the organiser. If you would like your report or your details removed, ask us and we will do it.
Your rights
Under UK data protection law you can ask us what we hold about you, ask us to correct it, ask us to delete it, ask us to stop or limit what we do with it, object to our legitimate interests, and ask for a copy in a portable form. Email [email protected] and we will reply within one working day and act within a month. If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
When this notice changes, the date at the top changes with it. Material changes, such as the first live days, will be explained here rather than slipped in.
